The Guide’s Guru is a subscription service where you will create a group, and be charged per member of that group. If paid monthly, the cost is $11 per member per month. If you prepay for 3 months, you’ll receive a 10% discount ($10 per member per month), and a 20% discount if you prepay for 6 months ($9 per member per month).
Additional discounts are available for groups that have more than 20 members.
If the number of members in your group exceed those that you prepaid for, you will be charged for those additional members at the monthly rate.
The integrations are à la carte. The Smartwaiver integration costs $0.25 per waiver, and the Stripe payment processing integration costs 1.5% per transaction.
Go to www.guidesguru.com/login and press NEW ACCOUNT. Follow the prompts, then check your email to finish setting up your account.
Go to SETTINGS and find the BILLING section. If you are already a member of an existing group you will need to find the CREATE NEW GROUP button. You will see one box that outlines subscription charges, and has a place to enter your discount code. In the other box you will need to select a subscription plan, name your group, and enter your credit card information.
Go to SETTINGS and find the FORMS SETUP section. You can create a NEW form, or select an existing form to edit/delete. For each item on your form you will need to decide what is the question, what type of information is it (i.e. how do you want to be able to sort it later), and is this part of the form essential to give the rest of the form context (i.e. where did you go (AREA), when did this happen (DATE), how many clients did you have (NUMBER)?).
You can also include links on your forms to outside resources. For example, you could have a form called ‘Useful Links’ and have a list of outside resources that you want to share with your team.

Go to SETTINGS and find the GROUP MEMBERSHIP section. There is a box where you can decide if you want to invite someone to join The Guide’s Guru and create their own group (and collect your $25 referral fee!), or you can invite them directly into your group. Hint: You can cut and paste the email addresses from a group email to cut down on the typing.
Below that section, you will see who is in your group, and what their user permission level is. This is where you can adjust that permission level, and/or remove them from your group.
We believe that sharing information is impossible without an easy and clear way to define how, and with whom, that information is shared. There are three different user permission in The Guide’s Guru.
Owner – This is the person who creates the account. Since billing is based on number of users in the group, only an Owner can invite people into the group. Owners are also the only users that can delete a client from the group’s database. Owners also have all the same permissions as admins.
Admin – These users are able to do a variety of additional tasks that would be restricted to the average user. These users can add, edit, and delete group forms; edit and delete any information submitted by other users; submit forms under the name of other users; delete areas stored on the map; configure map settings and area tags; and compile reports that access data (specifically timesheet and certification information) from other users within their group. Client profiles can also be restricted to be viewed in detail by Admin users only. Admin users can also set the permission level of other users.
User – This is the average member of the group. They can view all information submitted as a form, but they can only edit information that they have submitted. They can only submit under their own name, and only view their personal timesheet information. They don’t have any ability to modify forms, nor delete areas on the map.
You sound like a great candidate to use The Guide’s Guru. You can easily add and remove users into your group to account for those part-time employees, and during the off-season switch your account into INACTIVE status (go to SETTINGS and find the BILLING section). While in INACTIVE status, only you the group owner will be able to access the account. You can still view all your data and edit your forms and map, but you won’t be able to submit any new data until you purchase another monthly subscription.
